Can my customers cancel their own booking from my white label travel portal without calling my office?

Yes, in most cases you can let customers cancel a booking themselves from your portal, although what actually happens when they click cancel depends on the supplier behind that booking. The usual setup is a my bookings area where the customer signs in, finds the trip and sees the cancellation terms that applied when they booked, with a cancel option shown only when that booking is still cancellable.

When a customer cancels, the portal checks the rules attached to that booking first. If the booking is refundable and still inside the free cancellation window, many hotel suppliers accept the cancellation straight away and send back a confirmation, which your customer and your office both receive. If the booking is non refundable, or the deadline has already passed, the cancel option is normally hidden or replaced with a message telling the customer to contact you, so nobody cancels something by accident and loses their money.

Flights are the part to be careful with. Airline tickets often cannot be voided or refunded instantly, so those requests are usually sent to your team as a cancellation request rather than being processed automatically, and your staff finish the job in the booking system. Refund timing is also outside your control, because it depends on the supplier releasing the money and your payment provider returning it to the card. Some agencies also prefer to switch self service cancellation off completely so they get a chance to speak to the customer and offer a change of dates instead.

It is worth deciding product by product which cancellations you are happy to let customers do alone, then checking that your cancellation terms page says the same thing your portal does.
