Yes, in most cases you can record a booking you arranged outside the system so that it sits alongside the ones made online. Travel agents rarely do everything through one channel, so our travel agency software is built with the understanding that some trips get arranged by phone, by email or through a supplier you deal with directly.

The way it normally works is that you open a manual booking form and type in the details yourself, such as the traveller names, the travel dates, the service you sold, the supplier you booked it with, what you paid and what you charged your customer. You can usually attach the supplier confirmation so your team can find it later. Once saved, that booking shows up in your booking list and in your sales reports in the same way as a booking made through the search screens, so your totals are complete.

The honest limit is that a manual booking is a record, not a live link to the supplier. The system will not know if the supplier changes something, and you cannot amend or cancel it through us, because we were never connected to that reservation. If anything changes you deal with the supplier directly and then update the record by hand. Which fields you get, whether you can upload documents and whether invoices can be raised from these bookings can also vary with your plan and the way your portal is set up.

The best next step is to ask our team to show you the manual booking screen during a demo, then try entering one of your recent phone bookings and see whether every detail you need has a place to go.

Saved.
