Yes, you can normally save a customer record and reuse it on later bookings. Most travel agency software keeps a customer file where you store the name as it appears in the passport, date of birth, passport number and expiry, contact details and frequent flyer numbers. The next time that person travels you search for them by name, pick the record and the saved details fill into the booking form instead of you typing them again. For families and company travellers this saves a lot of time and cuts down on spelling mistakes.

There are limits worth knowing. The booking still has to send the airline or hotel exactly what that supplier asks for at the moment of booking, and some suppliers want the details in a fixed format, so the software may ask you to confirm or correct a saved field before it will issue anything. Passports expire, and names change after marriage, so a saved record can quietly go out of date and the supplier will reject it. Treat the saved details as a time saver, not as something you never check again.

How much you can keep, whether you can group travellers into a family or a corporate account, and whether you can attach notes or scanned documents, depends on your plan and on how your portal has been set up. Holding passport and payment details also brings data protection rules in the country where you trade, so it is sensible to limit which of your staff can open these records.

Have a look in your admin area to see whether a customer record already exists and which fields it offers, and tell us which extra fields you need before you start building up your customer list.

Saved.
