Yes, booking confirmation emails can be sent automatically as soon as a reservation is confirmed, without anyone on your team having to write them by hand. The usual setup is a template for each type of event, such as a new booking, a cancellation or a payment receipt, and the software fills in the customer name, travel dates, reference number and supplier details before it goes out. Your agency logo, your contact details and your terms can sit in the template so the email looks like it came from you rather than from a system.

What the email can say depends partly on what the supplier gives back. Hotel vouchers and airline ticket numbers only appear once the supplier has issued them, so if a booking comes back as pending or on request, the first email will confirm the request and a second one follows when the supplier replies. That is normal and worth explaining in the template wording so customers are not left wondering.

Delivery itself depends on email settings outside the software. Messages are more likely to land in the inbox when they are sent from your own domain with the right sending records in place, and some of this needs help from whoever manages your domain. Whether you can edit templates yourself, add extra languages or send text messages as well will depend on your plan, so it is best to confirm that rather than assume it.

If you want this running, write down the emails you actually need first, then check with us which of them your plan covers and what your domain needs set up so they arrive reliably.

Saved.
