Can I set a credit limit for my corporate clients so they can book now and pay later?
Yes, travel agency software will normally let you mark a corporate client as a credit account and record a limit against it, so their staff or yours can book first and settle the invoices later. Once the limit is in place, every confirmed booking is set against that account and reduces the credit still available, and your team can see where the account stands before they confirm anything else. When the account reaches its limit, the software can either warn the person booking or stop the booking until a payment is received, and you can usually free up the credit again as soon as you record the payment.
It is worth being clear about what this really controls. A credit limit is a rule inside your own system about how much you are willing to let a client owe you. It does not change anything on the supplier side. You still have to pay the airline or the hotel supplier on their terms, so any credit you offer is your own money carrying the risk, and ticketing and cancellation deadlines still apply whether the client has paid you or not.
How far this goes depends on your plan and on how the accounts are set up. Some setups give you a hard block, statements and an ageing view of who owes what, while simpler ones only give a warning on screen. Whether the limit applies across all your branches or separately to each one also depends on how your accounts are arranged.
Before you promise terms to a corporate client, decide whether you want a firm stop or just a warning, then check with us which of those your current plan covers.
