Yes, in most cases the cancellation terms come back along with the room and the rate, so you can see them before you confirm anything. For each rate you will normally get the date and time after which a charge applies, whether the rate is refundable at all, and how much would be kept if your customer cancels late. You can show this to your customer in plain words on your own website or quote, so there are no surprises later.

The honest limit is that the detail depends on the supplier behind that rate. Some suppliers send a clear deadline with a time and a time zone, others send a general description that you have to pass on as written. Deadlines are usually set in the hotel's local time, not yours, which matters when your customer is in a different country. Non refundable rates are common on the cheaper deals, and those will say so, but the wording can vary from one supplier to another.

Because of that, the safest habit is to read the terms again at the final pricing step just before you confirm, not only from the first search results. Rates and policies can change in the gap between a search and a booking, and the terms attached at the moment of confirmation are the ones that count. Keeping that text on the voucher and in your own records gives you something to point at if there is a dispute.

If you want this made clear for your own agents and customers, check how the cancellation text is currently displayed on your booking pages and ask us to show you where it comes through in the response.

Saved.
